1. We framed the challenge

The Global Rewards & HR Operations department was facing a lot of changes and incorporation of new profiles in the team.

The team members were not yet used to working together, in addition to having many different projects on the table.

There was a feeling shared by all of being overburdened and overwhelmed by all the challenges and requests that arise in parallel, as well as a difficulty in asserting one's responsibility and autonomy.

The Director of the department wanted to develop a program whose focus was the search for greater efficiency and productivity at the personal and team level.

This program pursued the following objectives:

• Generate more connections in the team, get to know each other better and build a solid foundation of trust to foster a high performing team.

• Understand how the team could be more effective by improving direct communication and optimizing its time management

• Work on self-reflection to connect with your personal profile and attributes in terms of effectiveness.

• Deep reflection to implement new personal effectiveness habits aligned with the needs of the team

• Learn and implement productivity management tools and best practices. How to calm chaos through intentional time management: how you spend your time, energy and attention in all parts of your life.

The program was designed and customized 100% to meet Esteve's objectives.

Participants valued the possibility of sharing as a team, getting to know each other better and determining how to be more efficient.

It was also important to work on very concrete tools that led to action plans that are easy to implement and that can have a great impact on your work.

It generates a sense of empowerment and of taking back control of your agenda, your day to day life and your life.

 

We share several lessons learned as formulated by the participants:

– Ask, challenge, ask for context: What is needed, when, what for? To avoid “asking for the sake of asking”

– Forget about multitasking to avoid losing concentration and to better compartmentalize the use of time

– Say no (push back) and be assertive when it is not possible, to avoid generating expectations

– Concept of the time jar and the rocks: what is important and what is urgent

– Calibrate my internal clock and determine at what time of the day I am more productive

– Avoid copying everyone in the mails, asking yourself why copy someone?

 

After the program, participants want to continue implementing these action plans and best practices, complementing them with other initiatives:

– be more disciplined with time blocks,

– be more assertive in saying no,

– assert yourself and your time,

– improve the educational process in the organization (e.g. respect of busy status).

My observations as team manager are:

- The team has been able to implement small things that help them on a daily basis.

- I also see that they have improved communication with HRBP's by better managing expectations, asking for context and improving interpersonal relationships.

- In my agenda, I have blocked, from Monday to Friday, the time slot from 7.30 to 9.00 hrs to answer emails, review what meetings I have that day (in case I have to prepare something) and prepare the topics I want to advance/close that day in question.

- I have muted the Teams alerts, so they don't bother me during my day and I check them when I close a topic.

- I have put aside being a "multitasking" girl and prioritize the topics.

- Try not to multitask, schedule and organize my time.
- Manage and organize time more efficiently (limiting unnecessary interruptions, and interacting more directly with people for a better understanding of the work to be done and greater productivity).
